The Lease Administrator is responsible for the accurate management and administration of lease agreements and related documentation. This role supports the Real Estate, Legal,and Facilities teams by maintaining lease records, tracking critical dates, and ensuring timely coordination of lease-related activities. The Lease Administrator acts as a key point of contact for landlords, vendors, and internal stakeholders to ensure compliance and operational efficiency

Responsibilities

  • Manage Certificates of Insurance (COIs), including requesting, tracking compliance, and distributing documentation to landlords and internal teams
  •  Maintain accurate lease, property, and contact data within the lease administration system
  • Monitor and respond to inquiries received through the Real Estate inbox in a timely manner
  •  Coordinate utility account setups, transfers, and disconnections; liaise with vendors, landlords, and internal teams to resolve service-related issues
  •  Administer lease agreements, including abstraction and entry of financial and contractual data for new leases, renewals, and assignments
  •  Track and monitor critical lease dates, deadlines, and financial obligations
  •  Upload, organize, and maintain lease documentation and records to ensure completeness and accuracy
  •  Process landlord reimbursements and maintain appropriate supporting documentation
  •  Prepare vacate notices and complete required tenant and landlord documentation
  •  Maintain organized records and support overall lease administration processes and continuous improvement efforts

Qualifications

  • 1–2 years of experience in real estate, lease administration, property management, or a related field
  •  Basic understanding of commercial lease terms and concepts (e.g., rent, CAM, lease dates, renewals)
  •  Strong attention to detail and organizational skills
  •  Proficiency in Microsoft Office, particularly Excel and Outlook
  •  Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Strong communication skills with the ability to collaborate effectively with internal teams, landlords, and vendors
  • Demonstrated willingness to learn and grow within a real estate or lease administration function
  •  Ability to work both independently and as part of a cross-functional team.

Working Conditions

  • Fully remote position supporting North American operation
  • Availability required across multiple time zones in Canada and the United States
  •  Occasional support outside standard business hours may be required

 

Schedule:

(Eastern Time)

This position is full-time, typical hours are 8AM-5PM/8:30AM-5:30PM 

 

Hourly Rate: $21.50-$28.00 CAD

 

The base salary range represents the low and high end of the anticipated salary range for this position based on the Canada average. The actual base salary offered for this full-time position will be determined by various factors, including but not limited to, location, skills, knowledge, competencies, and experience.
